Practice Policies

The following terms govern the therapeutic services provided by Marva Johnson, Registered Psychotherapist (RP), operating as Set Apart Counselling. By scheduling and attending sessions, you agree to these policies. All services are provided to clients located in Ontario, Canada, in accordance with the regulatory requirements of the College of Registered Psychotherapists of Ontario (CRPO).

1. Scope of Services

Marva Johnson provides psychotherapy services — individual, couples, and family therapy — to clients located in Ontario. Individual therapy is available to adults and adolescents; couples therapy is provided to adults (18+); family sessions may include children and adolescents. For any client under 18, participation is discussed with the family in advance and consent is obtained in accordance with Ontario's Health Care Consent Act and CRPO requirements. Services are delivered by secure, PHIPA-compliant teletherapy (video). Psychotherapy services are not a substitute for emergency mental health care. If you are in crisis, please call 9-8-8 or 911.

2. Session Fees

  • Individual Therapy (50 minutes): $170
  • Couples Therapy (80 minutes): $210
  • Family Therapy (80 minutes): $210

Psychotherapy and counselling services provided by a Registered Psychotherapist are exempt from HST under the Excise Tax Act; no HST is charged on the fees above.

Fees are subject to change with 30 days written notice to existing clients.

3. Payment

Payment is due at the time of each session. Accepted payment methods are Interac e-Transfer, PayPal, and secure online card payment through Stripe. Official receipts are provided for every session and contain all information required for extended health benefit (EHB) insurance claims, including CRPO registration number.

My services are not covered by OHIP. Most employer-sponsored extended health plans cover Registered Psychotherapist services — please verify your coverage with your insurer before your first session.

4. Cancellation Policy

Please provide at least 24 hours notice to cancel or reschedule your appointment. Cancellations made with less than 24 hours notice, or missed appointments (no-shows), will be charged the full session fee unless:

  • There is a genuine emergency or sudden illness
  • You provide documentation for extraordinary circumstances

Late cancellation fees cannot be submitted to insurance for reimbursement. Repeated late cancellations or no-shows may result in termination of the therapeutic relationship.

5. Confidentiality

All information shared during therapy is confidential and protected under the Personal Health Information Protection Act (PHIPA). Confidentiality has limited exceptions required by law, including:

  • Imminent risk of harm to yourself or others
  • Suspected abuse or neglect of a child
  • Court order or subpoena
  • CRPO regulatory investigation

These exceptions will be discussed in detail during your first session. Please refer to the Privacy Policy & PHIPA Notice for full details.

6. Teletherapy

Online therapy sessions are available to clients physically located in Ontario at the time of each session, in accordance with CRPO regulatory requirements. You are responsible for ensuring a private, secure environment for your sessions. Technical difficulties on your end that prevent a session from occurring within the first 15 minutes will result in the session being treated as a late cancellation.

7. Communication Between Sessions

I am not available for crisis support between sessions. For urgent mental health concerns, please contact a crisis line (9-8-8), your nearest emergency room, or call 911. Between-session emails are checked during business hours and are used for scheduling purposes only — please do not send sensitive clinical information by standard email.

8. Professional Boundaries

The therapeutic relationship is a professional one governed by the CRPO Code of Ethics. I do not engage in dual relationships, social media connections, or personal relationships with current or former clients. If the therapeutic relationship needs to end for any reason, I will provide appropriate referrals.

9. Termination of Services

Either party may end the therapeutic relationship at any time. If you choose to end therapy, I encourage a planned termination session. I reserve the right to terminate services in cases of non-payment, repeated no-shows, inappropriate conduct, or if your needs exceed my scope of practice — in which case I will provide appropriate referrals.

10. Governing Jurisdiction

These terms are governed by the laws of Ontario, Canada. All services are provided in accordance with the Regulated Health Professions Act, 1991 and the Psychotherapy Act, 2007.

11. Changes to These Terms

These policies may be updated periodically. Active clients will be notified of material changes in writing at least 30 days in advance.
